Table and Fields Description

Table Description --- EDBPER

One record exists for each employee and contains personnel-type (Personnel Data Form - PDF form) information: employment status, service credit, ethnicity, sex, bargaining unit representation and student/units information. Each employee record contains a primary/administrative home department and a secondary/work location home department which may or may not be the same department. The record will remain for employees separated within the calendar year (for W2-producing purposes). The data originates from the Employee Data Base (EDB).

Additional indicator flags have been added to each record identifying employee type, confidentiality, work location, supervisory status, primary appointment number and primary distribution number. These flags and numbers are derived from a variety of EDB data fields. While the business rule would consider that an employee must be employed by one or more departments, there is no validation on the department code so some employees have department codes that are invalid or have yet to be added to the DEPARTMENT entity/table. The UCD_Mailid field included in this record is extracted from the UCDavis Mothra data base. It identifies the "Email alias@ucdavis.edu" that this employee can be reached at. This field may be blank as some employees either don't have an Email address or have identified in the Mothra system that their Email address should not be made public.

BIRTH_DATE BIRTH DATE DATE The date on which the employee was born.
CONFIDENTIAL CONFIDENTIAL EMPLOYEE FLAG VARCHAR2(1) The UCD-created confidential flag pertains to collective bargaining. If EDBPER. EMP_REL_CODE=[B,D,F] then Y otherwise N.
CREDIT_DATE SABBATICAL CREDIT DATE DATE The month and year in which the sabbatical begins.
CREDIT_FROM_DATE SERVICE CREDIT FROM DATE DATE The date from which the employee employment credit months begin to accumulate.
CREDIT_THRU_DATE SABBATICAL THROUGH DATE DATE The date through which sabbatical credits have been accrued.
CREDIT_USED SABBATICAL CREDIT USED NUMBER(5) The number of sabbatical credits required for a requested leave.
CUR_SPECIALTY_1 AREA OF SPECIALIZATION - 1 VARCHAR2(4) NOT USED. The code indicating the employees current area of specialization.

DEGREE_INST DEGREE FROM INSTITUTION VARCHAR2(3) The code indicating the institution at which the employees highest level of education was attained.
EDU_LEVEL EDUCATION LEVEL VARCHAR2(1) The code indicating the highest level of education attained by the employee. (values are N=no credentials, H=high school diploma or equivalent, T=trade or craft certificate, A=associate degree, B=bacholor's degree, M=master's degree, P=professional degree, D=doctorate and BLANK=no information)
EDU_LEVEL_YR EDUCATION LEVEL YEAR VARCHAR2(2) The year in which the employees highest level of education was attained.
EMPLMT_CREDIT LEAVE ACCRUAL  SERVICE CREDIT NUMBER(5) The total number of qualifying months of employment service at the university, its DOE laboratories, and the State of California. (UCRS Retirement Service Credit is calculated at UCOP.  This is for determining leave accrual rates - totals are updated during Monthly Maintenance.)
EMPLOYEE_ID EMPLOYEE ID NUMBER VARCHAR2(9) The unique employee identification number. (primary key)
EMP_CBUC COLLECTIVE BARGAINING UNIT VARCHAR2(2) The code indicating the primary collective bargaining unit of an individual derived from the predominant appointment. (translation in CTLBUT table)
EMP_CHANGED_AT EMPLOYEE RECORD CHANGED DATE DATE The date and time of the last update of the employees record on the employee data base (EDB). The timestamp does not reflect updates resulting from the payroll compute process.
EMP_CHANGED_BY EMPLOYEE RECORD CHANGED BY USERCODE VARCHAR2(8) The code indicating the source of the update to the employee record on the employee data base (EDB) associated with the last update timestamp.
EMP_DIST_UNIT_CODE DISTRIBUTION UNIT CODE VARCHAR2(1) The code indicating the distribution unit code of the predominant distribution of the predominant appointment of an individual for collective bargaining purposes. EMP_REL_UNIT EMPLOYEE RELATIONS UNIT VARCHAR2(2) The code indicating the employee relations unit of an individual. HIGH_DEGREE HIGHEST DEGREE ACHIEVED VARCHAR2(4) The code indicating the field of study in which the employees highest level of education was attained.
HIRE_DATE MOST CURRENT HIRED DATE DATE The date on which the most recent employment period commenced.
HOME_ADDR_RLSE HOME ADDRESS RELEASE CODE VARCHAR2(1) The code indicating whether the individual has authorized the University to release his or her home for normal campus business purposes. HOME_DEPT ADMINISTRATIVE HOME DEPARTMENT VARCHAR2(6) The code indicating the administrative or primary department responsible for coordinating the employees employment and/or pay disposition. This field should not be blank.  (translation in CTLHME table)
HOME_PHONE HOME PHONE VARCHAR2(10) The individuals telephone number at place of residence.
HOME_PHONE_RLSE HOME PHONE RELEASE CODE VARCHAR2(1) The code indicating whether the individual has authorized the University to release his or her home telephone number to employee organization. INACTIVE_DATE INACTIVE DATE DATE The effective date employment status is changed to inactive for the employee.

LADDER_RANK LADDER RANK AND EQUIVALENT FACULTY FLAG. VARCHAR2(1) The UCD-created flag indicating an employee whose academic appointment title is ladder-rank or equivalent to professor level. Without salary appointments are excluded. (values are Y=yes and N=no)
LAST_ACTION LAST ACTION CODE VARCHAR2(2) The code indicating the 1st most recent, highest priority, personnel action to be applied to the employee record. (translation in DVTACT table)
LAST_ACTION_DATE LAST CHANGE DATE DATE The effective date of the most recent, highest priority, personnel action.

LAST_CREDIT_ACC CREDIT ACCRUED SINCE LAST SABBATICAL NUMBER(5) The number of sabbatical credits accrued by the individual since the last sabbatical leave.
LAST_CREDIT_BAL SABBATICAL CREDIT BALANCE NUMBER(5) The remaining sabbatical credits carried forward after a planned leave usage is subtracted from the individual total accrued sabbatical credits.

SEPARATE_DATE SEPARATION DATE DATE The date on which an individuals employment affiliation with the university ends. For most individuals, this is the last day for which compensation is received.

TA_AS_OF_TERM TEACHING ASST TERM VARCHAR2(5) FUTURE. The academic term and calendar year associated with QTR/SEM as teaching assistant. (values are F=fall, W=winter, or S=spring)
TA_TIME SEM/QTR AS TEACHING ASST NUMBER(5) FUTURE. The number of quarters or semesters of service accrued in the titles teaching assistant, associated, and teaching fellow toward the service limitation established by policy for students.
TA_TIME_TYPE SEM/QTR TA TYPE CODE VARCHAR2(1) FUTURE. The code indicating whether the associated teaching assistant-time amount represents quarters or semesters of services. (values are Q=quarters or S=semesters)
TEACHING_FACULTY TEACHING FACULTY FLAG VARCHAR2(1) The UCD-created flag to indicate an employee whose academic appointment title is identified as a teaching position. Without salary appointments are excluded. (values are Y or N)
TERM_COMP_TIME COMP TIME AT TERMINATION NUMBER(5,2) The number of hours of compensatory time paid to the employee at the time of separation.

TERM_VAC_LEAVE VACATION LEAVE AT TERMINATION NUMBER(5,2) The number of hours of accrued vacation leave paid to the employee at the time of separation.
TOT_CREDIT_BAL SABBATICAL TOTAL CREDIT NUMBER(5) The remaining sabbatical credit balance after current accrual and usage have been recorded.
TRIP_BEGIN_DATE TRIP PROGRAM BEGIN DATE DATE OBSOLETE. The date the employee reduction in time worked begins under the time reduction incentive plan (TRIP).
TRIP_DURATION TRIP PROGRAM MONTHS DURATION NUMBER(5) OBSOLETE. The number of months during which the employee time worked is reduced under the time reduction incentive plan (TRIP).
TRIP_PERCENT TRIP PROGRAM PERCENT NUMBER(5) OBSOLETE. The percent by which the employees time worked is reduced under the time reduction incentive plan (TRIP).
UCD_ADC_CODE UCD ADD/DELETE/CHANGE CODE VARCHAR2(1) The UCD-created code indicating the most update activity applied to the employee. The code will stay set for 7 days after the ppsdw update at which time the 'D' records will be deleted and the codes on the added and changed records will be blanked out. (values are A=add, C=change, D=delete)
UCD_ADC_DATE UCD ADD/DELETE/CHANGE DATE DATE The UCD-set date of the most recent update activity.
UCD_ADMIN_DEPT UCD ADMINISTRATIVE DEPT VARCHAR2(6) The UCD-derived field identifying the administrative or home department for the employee. For most campus employees this will be the same as the HOME_DEPT field however for others including the UCDHS staff employees where the HOME_DEPT field is a "grouping" mechanism, the ALT_HOME_DEPT is used as the "true" administrative department.
UCD_WORK_DEPT UCD WORK DEPT VARCHAR2(6) The UCD-derived field identifying the work location for the employee. For most employees this will be the same as their alternate/work department (ALT_HOME_DEPT) field however if they do not have an alternate, this field will be set to their administrative HOME_DEPT.

UCD_LASTNAME UCD EMPLOYEE LAST NAME VARCHAR2(30) OBSOLETE. See LAST_NAME.
UCD_MAILID UCD EMAIL ADDRESS VARCHAR2(32) The campus electronic mail address of the employee from the Mothra database. BLANK means no email address or employee indicated not to release this information. Append "@ucdavis.edu" to the UCD_MAILID address when using to send Email.
UCD_MIDNAME UCE EMPLOYEE MIDDLE NAME VARCHAR2(20) OBSOLETE. See MIDDLE_NAME.
UNIT18_TIME SEM/QTRS AS U18 TITLE NUMBER(5) FUTURE. The number of quarters or semesters of service accrued in the titles designated under unit 18 for collective bargaining purposes.
UNIT18_TIME_TYPE SEM/QTR U18 TYPE CODE VARCHAR2(1) FUTURE. The code indicating whether the associated unit 18-time amount (EDB 0727) represents quarters or semesters of services. (values are Q=quarters or S=semesters)
VET_DISAB_STAT DISABLED VETERAN STATUS CODE VARCHAR2(1) FUTURE. The code indicating whether an individual is a special disabled veteran. (values are BLANK, N or S)
VET_STATUS VIETNAM VETERAN STATUS CODE VARCHAR2(1) The code indicating whether an individual is a Vietnam era veteran. (values are BLANK, N or V)
VISA_END_DATE VISA END DATE DATE The date on which an individuals Visa, work permit or coverage under a tax treaty is expected to expire.
WORK_LOC WORK LOCATION VARCHAR2(1) The UCD-created flag that indicates where the alternate home department is located. If the department does not exist on the home department control table or the location field on the CTLHME is BLANK, the flag will be set to NULL. (values are C=campus-based, U=UCDMC-based, M=Sch of Med at UCDMC, F=field Station)
WOSEMP WITHOUT SALARY EMPLOYEE FLAG VARCHAR2(1) The UCD-created flag indicating whether the employee has one or more without salary appointment/distributions in addition to a regularly paid appointment. (values are Y=WOSEMP or N)
YEAR8_EXT INSTR ASST EXTENTION NUMBER(5) FUTURE. The number of quarters, semesters, or months of additional time added to the 8-year service limitation.
YEAR8_EXT_TYPE INSTR ASST EXTENSION TYPE VARCHAR2(1) FUTURE. The code indicating whether the associated 8 year rule extension-time amount represents quarters, semesters, or months of services. (values are Q=quarters, S=semesters, or M=months)
YEAR8_TIME SEM/QTRS AS INSTR ASST NUMBER(5) FUTURE. The number of quarters, semesters, or months of service accrued in the titles instructor, assistant professor, or equivalent titles toward the 8-year service limitation.
